REFUND AND CANCELLATION POLICY

This Refund and Cancellation Policy (“Policy”) forms part of the Terms of Use between you (“Customer,” “you,” “your”) and The Service Pilot (“Company,” “we,” “our,” “us”). By subscribing to or using The Service Pilot platform (“Service”), you acknowledge and agree to this Policy.
1. Subscription and Billing
1.1 Recurring Billing: The Service Pilot operates on a recurring subscription model (monthly or annually, as selected during sign-up). You authorize us to automatically bill the payment method on file for each subscription period until canceled.
1.2 Pricing Changes: We may update pricing from time to time with prior written notice. Continued use of the Service after the effective date of price changes constitutes agreement to the new pricing.
2. Cancellation Policy
2.1 Customer-Initiated Cancellation:
You may cancel your subscription at any time by submitting a cancellation request via your account dashboard or by contacting billing@theservicepilot.com.
Cancellations must be submitted at least 3 business days prior to the next billing date to avoid being charged for the following cycle.
2.2 Effect of Cancellation:
Your account will remain active until the end of the current paid subscription term.
No partial or prorated refunds are provided for unused time in the current billing period.
Upon cancellation, your data will be retained for 60 days for retrieval before permanent deletion.
2.3 Company-Initiated Cancellation:
We reserve the right to suspend or terminate your account immediately, with or without notice, for:
Breach of Terms of Use or this Policy;
Non-payment or failed transactions;
Fraudulent or abusive use of the Service.
3. Refund Policy
3.1 General Policy:
All payments made to The Service Pilot are non-refundable, except where otherwise required by law or explicitly stated in this Policy.
3.2 Eligible Refunds: Refunds may only be granted under the following circumstances:
Duplicate Charges: If you are charged more than once for the same subscription due to a billing error.
Service Outage: If a confirmed platform-wide outage lasting more than 72 consecutive hours prevents use of the Service, a partial credit or refund may be issued at our discretion.
Unauthorized Charge: If a charge is proven to have been made without account owner authorization and reported within 14 days of the transaction.
3.3 Non-Eligible Cases: Refunds will not be issued for:
Change of mind or failure to use the Service.
Dissatisfaction with features where the Service is functioning as described.
Cancellations made after a billing cycle renewal.
Third-party fees or integrations not provided directly by The Service Pilot.
4. Free Trials and Promotions
Free trials are offered as a courtesy for evaluation purposes only.
If you do not cancel before the end of your trial period, your subscription will automatically convert to a paid plan, and you authorize billing as per the chosen plan.
Promotional discounts or offers are non-refundable and may be subject to additional terms.
5. Chargebacks and Disputes
5.1 Chargebacks:
Initiating a chargeback without first contacting our support team may result in immediate account suspension.
We reserve the right to dispute any chargeback claims and provide proof of authorized transactions.
5.2 Dispute Resolution:
If you believe you have been billed incorrectly, you must notify us within 14 days of the charge.
We will review your claim and respond within 10 business days.
6. Modifications to This Policy
We reserve the right to update or modify this Policy at any time. Notice of material changes will be provided via email or in-app notification. Continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
